General Description: As the first point of contact for Viaservice Limited, the Receptionist will manage front-office operations with professionalism and efficiency Reporting to the HR and Admin Officer, this role involves managing incoming inquiries, coordinating communications, and supporting administrative tasks to maintain front office operations. The ideal candidate will have excellent interpersonal skills, strong organizational abilities, and a proactive approach to customer service. Roles and responsibilities · Responsible for the front office desk management- greeting and assisting guests with a professional demeanour – the face of the company. · Handle front office inquiries about company in a professional manner · Manage incoming and outgoing calls, direct inquiries to appropriate departments, and handle messages · Maintain a tidy and organized reception area. · Ensure adherence to office access security protocols and procedures. · Receive office supplies and deliver to store · Schedule appointments, meetings and conference room. · Coordinate mail and parcels flow in and out of office · Arrange appointments and follow-up appointments. · Act as a liaison between staff, clients, and external partnersAssist in organizing company events, meetings, and travel arrangements. · Administer petty cash expenses · Issue parking passes · Support administrative tasks, such as filing, data entry, document preparation etc. · Any other duties may be assigned by the HR and Admin O fficer.
Qualifications and Education Requirements Required Education: · Minimum Diploma in Public Administration, Hospitality, customer service, Business administration or any related field. · Qualification in front office management an added advantage Required Experience & Qualifications: · Minimum Two (2) years’ experience in a receptionist or customer service role · Excellent knowledge of MS Office (Word, Excel, Outlook) and basic office equipment (e.g., telephone systems, printers) · Strong interpersonal, verbal and written, communication skills · Excellent organizational, planning, and multi-tasking skills. · Excellent customer care skills · A team player · Professional appearance, warm, approachable and customer-focused attitude · Excellent time management skills and ability to multi-task and prioritize work
